What we collect, why, and how long we keep it.
Who we are
Smilexis Aligner Studio. We provide outsourced clear aligner treatment planning to dental practices, orthodontic practices and dental laboratories. Questions about this policy go to smilexis324@gmail.com.
Two kinds of data
We handle two separate categories, under different rules.
1. Enquiry data (you)
When you contact us we collect your name, practice or laboratory name, work email, and optionally phone number, country, role, platform and case volume. We use it only to answer your enquiry and, if you become a client, to run your account.
- Lawful basis: legitimate interest in responding to a business enquiry, or performance of a contract.
- Retention: kept while we are in contact and for a reasonable period afterwards, then deleted.
- We never sell your details, or add you to a marketing list you did not ask for.
2. Case data (your patients)
Scan files and prescriptions may constitute protected health information. Where they do, we act as a Business Associate (HIPAA) or a data processor (GDPR and UK GDPR), under a signed agreement, and we process case data only on your documented instructions.
- We ask you to submit cases under a case reference rather than a patient name, so identifying data never reaches us.
- Files are encrypted in transit and at rest, and access is restricted to the assigned operator and logged.
- Case data is deleted after 30 days unless you instruct us in writing to retain it.
- We do not use your cases for marketing, portfolio, training data or machine-learning development without your explicit written consent.
- We do not sub-contract your cases to a third party.
Where data is processed
If your jurisdiction restricts transfers of case data abroad, tell us before your first case: we can work entirely inside your own environment over a remote session, so nothing is copied out.
Your rights
Depending on where you are, you may have the right to access, correct, delete, restrict or port your data, and to object to processing. Email smilexis324@gmail.com and we will respond within one month.
Where we process case data on your behalf, requests from patients should go to you as the controller. We will support you in answering them.
Cookies
This site uses only the cookies required to make it work, including the anti-forgery token that protects the contact forms. It sets no advertising or cross-site tracking cookies, and fonts are served from our own server rather than a third party.
Changes
If this policy changes materially we will say so on this page and, where the change affects case data, notify clients directly.
